This Privacy Policy explains how WebsiteDev. Solutions GmbH ("we") handles personal data in connection with the TradeCRM service and website. We act as a controller for data about our own account holders and website visitors, and as a processor for the personal data our customers put into the service about their own contacts (governed by the Data Processing Addendum).
Data we collect
- Account data: name, work email, company, role, password (hashed), and users you create.
- Billing data: your chosen plan, invoices, and the blockchain payment details (wallet address and transaction reference) you use to pay.
- Usage and technical data: log-ins, actions in the app, device/browser info, IP address, and diagnostic logs, used to run and secure the service.
- Communications: messages you send us (support, sales).
- Customer Data: the leads, clients, call records and notes you enter — we process these on your instructions as your processor, not for our own purposes.
Why we use it (lawful bases)
- To provide, maintain and secure the service, and to support you — performance of our contract with you.
- To bill you and prevent fraud/abuse — contract and our legitimate interests.
- To improve the service and communicate about it — legitimate interests (you can opt out of marketing).
- To comply with law — legal obligation.
Who we share it with
We share personal data only with service providers that help us run the platform, under contract and only as needed. These "sub-processors" include our hosting/infrastructure, and — where you use those features — telephony carriers, number-lookup and email providers. Payments are settled on the public Polygon blockchain, which is inherently public. We do not sell personal data. We may disclose data if required by law or to protect our rights and users.
AI processing
AI call summaries are generated by models we run on our own infrastructure on a private network; call audio and transcripts used for summaries are not sent to any third-party AI service.
International transfers
Where personal data is transferred across borders, we rely on appropriate safeguards such as standard contractual clauses, as required by applicable data-protection law.
Retention
We keep account and billing data for as long as you have an account and as required by law thereafter. Customer Data is kept while your workspace is active and deleted after a reasonable period following termination, unless you delete it sooner or the law requires longer.
Security
We use technical and organisational measures appropriate to the risk: encryption in transit, tenant isolation, access controls, audit logging and least-privilege administration. No system is perfectly secure; we cannot guarantee absolute security.
Your rights
Subject to applicable law (including the UK/EU GDPR where it applies), you may request access to, correction, deletion, restriction or portability of your personal data, and object to certain processing. Where we act as a processor for Customer Data, direct such requests to the customer (the controller). To exercise your rights or complain, contact privacy@tradecrm.digital; you may also complain to your local data-protection authority.
Children
The service is for businesses and is not directed at children; we do not knowingly collect their data.
Changes
We may update this policy; the date above shows the latest version.
